Client Care Coordinator

We are seeking a dedicated Client Care Coordinator to join our team and contribute to our mission of enhancing the wellness experience for our clients.

Position overview:

The Client Care Coordinator plays a vital role in delivering exceptional client care and ensuring smooth daily operations. You will be responsible for providing support with the daily activities of our head spa, including managing communications, scheduling appointments, handling transactions, and providing top-notch customer service. You will be the welcoming face and voice of our spa, ensuring each client feels valued and cared for from the moment they connect with us.

Pay: $22-24 per hour, plus commission (see below for more benefits information).

What you’ll do:

  • Provide excellent client care and customer service

  • Answer and screen inbound phone calls

  • Manage appointments (scheduling, rescheduling, and cancelling appointments)

  • Actively promote the spa and studio, treatments, services, products, as well as programs, promotions, and/or discounts available

  • Provide accurate, appropriate, and immediate responses to all requests by clients, ensuring complete client satisfaction

  • Accurately complete client transactions

  • Manage multiple responsibilities while maintaining composure, always keeping the clients a priority

  • Perform opening and closing duties

  • Efficiently provide basic office administrative support tasks including but not limited to processing inventory, ordering supplies, mailing, sorting, typing and filing

  • Maintain a professional and clean work environment and appearance, adhering to company dress code

  • Maintain complete confidentiality in all client matters in accordance with company policy

  • Assist with other duties and projects as assigned by management

What you’ll bring:

  • Must-Have:

      • High School Diploma or GED required; AA preferred.

      • At least 1 year of customer service experience.

      • Exceptional customer service skills.

      • Ability to be efficient and productive in a fast-paced environment.

      • The ability to multitask, prioritize, and organize with a consistently high level of accuracy.

      • Must be a team player.

      • Great attention to detail and accuracy.

      • Consistently demonstrates good judgment, strong character and personality, ethics, and high standards of performance.

      • Knowledge of: Cloud-based applications, Microsoft Word, Excel, and Outlook and/or Apple Pages, Numbers, and Mail.

  • Nice-to-Have:

      • Administrative experience in medical office, salon or spa.

      • Experience with POS systems.

      • Sales skills and experience.

      • Ability to learn new software quickly.

Physical requirements:

  • Periods of working at a desk on a computer combined with the need to frequently leave the desk to attend to other matters.

  • Occasionally stand, walk, use hand and fingers, handle or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl, talk and hear.

  • Occasionally lift and/or move up to 30 pounds.
